Prewired - Administrative Assistant

Administrative Assistant

Prewired is an under 19s programming club, that takes place on Wednesdays between 5:30pm

- 7:30pm. Young people are encouraged to bring their own projects and will receive support

from volunteer mentors. We are looking for a contractor Administrative Assistant to help support

the activities in Edinburgh and Stirling, as well as looking to help Prewired expand to other

locations.

Tasks

Disclosure

  • Maintain a register of mentors who have undergone Disclosure. This should include a

verification of the certificate of Disclosure, and the date of Disclosure

  • Maintain a register of STEM Ambassadors

  • Liaise with STEM Ambassador Hub East, to facilitate mentors to attend training and

disclosure sessions, and to report ‘ambassador’ attendance at Prewired sessions

Mentors

  • Keep the mentors database up-to-date proactively, in compliance with data policy

  • Encourage new mentors; if feasible, look into Edinburgh Award arrangements

  • Establish and help implement mentor induction process, including health and safety,

best practice, and Prewired ethos

  • Establish and help implement process for mentors to contribute to Prewired strategy and

objectives

  • Organising regular mentor social/training events

  • Reviewing and maintaining policy and code of conduct, and making sure people are

aware

Membership

  • Maintain the membership database, in accordance with data policy

  • Check new attendees are properly registered

  • Help new attendees get started Workshops and Hackathons

  • Keep a record of volunteers and topics to lead one-off or a series of workshops

  • Schedule workshops

  • Publicise workshops and manage attendance

  • Ensure that relevant hardware / software requirements are met

  • Help curate learning materials as a reusable resource

Secretarial Assistance

  • Assist the Board Secretary with taking minutes, preparing board papers, agenda,

supplementary papers for Board meetings and Prewired AGM

  • Should attend board/committee meetings as required

  • Assist the Board with funding applications

  • Ensure that Board Members are notified of regular and extra-ordinary meetings well in

advance

  • Help keep electronic documents properly organised

  • Follow up Board members and others with tasks and ideas

  • Dealing with day-to-day Prewired communications and queries

Marketing

  • Maintaining social media channels - Twitter, Facebook, website blog and Resources

page

  • Publicising our activities, before, during, after

  • Keeping photographic/video evidence of workshops and events for marketing and

evaluation purposes

  • Curation of a regular online newsletter detailing resources, events, ideas.

  • Networking and outreach, linking with similar organisations


Skills

Essential

  • Good digital administration skills - cloud based office tools, including spreadsheeting and

documents.

  • Time management

  • Self motivation

  • Good communicator

  • An interest in the world of tech

  • An interest in the welfare of young people

Desirable

  • Some experience of digital skills - programming, graphic design, basic video and photo

editing

  • Experience of working with young people

  • Available to work in evenings

  • Available to regularly travel within Scotland and occasionally beyond

This contract is 8 hours a week, based in Edinburgh. It would be expected that you attend

Prewired regularly (17:30 - 19:30 on Wednesdays), as well as occasional visits to Prewired

Stirling. The initial funding is for a year, but we will be looking in to further sources of funding for

longer term work.
